The exhibition is a vital part of the WADEM Congress 2017. Every effort will be made to ensure that all exhibitors receive prime exposure and direct marketing opportunities with key players and decision makers in the field. Efforts include, but are not limited to:

  • Networking Reception in the Exhibit Hall on Tuesday, April 25
  • Morning and afternoon networking breaks, as well as Lunches, in the Exhibit Hall

Level sponsors have first choice in selecting booth location, followed by exhibitors on a “first-paid, first-served” basis. No exhibitor may sub-let or share with another exhibitor.

 

Non-Profit Tabletop Displays

Non-profit organizations are eligible to receive the reduced exhibit price of USD 1,000 for a maximum of one (1) tabletop display. Assignment of space will be confined to a specific area on the floor plan. If subsequent booths are requested, these are charged at the regular booth price.

The Congress offers opportunities for your organization to host a Lunch Symposium between 13:00 and 14:00 on Tuesday, 25 April and between 12:00 and 13:00 on Wednesday, 26 April and Thursday, 27 April.

As the sponsor of an Industry-Supported Seminar, you will:

  • Enjoy the use of a room at the Westin Harbour Castle

1 Each delegate will receive an initial confirmation email at time of registration. All confirmed delegates will receive a final confirmation email a few days before the Congress. Your custom banner will be displayed in the body of the email.

2 The Congress Secretariat will send e-blasts to interested parties on a regular basis prior to the event to update on newest developments about the Congress. Your custom banner will be displayed in the body of the e-blast.

Volunteers are important to the success of the Congress. Over 20 staff and volunteers are necessary to ensure it runs smoothly. These individuals wear shirts for clear identification, constantly providing assistance, and making the attendees feel welcome.

As the exclusive sponsor of the Staff & Volunteer Shirts, you will:

  • Have your logo on the shirts along with the Congress logo
  • Be acknowledged with your logo in the Pocket Program as the Sponsor of the Staff & Volunteer Shirts
Networking Break (7 available) USD 3,000 each
Networking opportunities are among the most important reasons the delegates attend the Congress. Each day, the Congress will provide snacks and refreshments during the morning and afternoon networking breaks, served in the Exhibit Hall for all attendees free of charge.

As the sponsor of one of the Networking Breaks, you will:

  • Have table top cards with your logo on all food and beverage stations during your selected networking break
  • Be acknowledged with your logo in the Pocket Program as the Sponsor of the selected Networking Break
Delegate Lounge (Exclusive) USD 5,000
A delegate lounge will be located in the Exhibit Hall to provide delegates a comfortable seating area to conduct meetings, check emails or simply to study the Congress program.

As the exclusive sponsor of the Delegate Lounge, you will:

  • Have the Delegate Lounge branded with your logo/custom design
  • Have the opportunity to position a custom free-standing banner in the Delegate Lounge (banner supplied by Sponsor; maximum size 3’ x 5’)
  • Have the opportunity to place promotional materials in the Delegate Lounge

Delegate Help Desk (Exclusive) USD 5,000
The Delegate Help Desk will be located within the registration area at the Westin Harbour Castle. Multilingual staff will be available to assist delegates with any questions they may have regarding the Congress, the Scientific Program, or Toronto.

As the exclusive sponsor of the Delegate Help Desk, you will:

  • Have the desk branded with your logo/custom design
  • Be acknowledged with your logo in the Pocket Program as the Sponsor of the Delegate Help Desk
Poster Session (2 available) USD 5,000 each
Abstracts accepted for poster presentations will be displayed on poster boards in the Exhibit Hall every day. The Posters will be highlighted in new and unique ways in 2017. Authors will be present twice daily during both networking breaks to answer questions and discuss their research with delegates.

As the sponsor of one of the Poster Sessions, you will:

  • Have your logo displayed on all Poster number cards that day
  • Be acknowledged with your logo in the Pocket Program as the Sponsor of the selected Poster Session
Hotel Key Card Branding (Exclusive) USD 7,500
The Westin Harbour Castle offers the opportunity to custom brand their hotel key cards. This is a unique opportunity to put your branding in the hands of most delegates.

Please note that the sponsorship price does not include the production of the key cards. This item is only available to official Level sponsors of the Congress. Please contact the Conference Secretariat for further information on this option.

Charging Station (2 available) USD 10,000 each
Charging stations will allow attendees to power up their mobile phones, tablets, laptops, and other electronic devices for free. They will be in high demand and can be placed in the Exhibit Hall near your booth.

As the sponsor of one of the Charging Stations, you will:

  • Have the Charging Station branded with your logo/custom design
  • Have the opportunity to position a custom free-standing banner in the Charging Station (banner supplied by Sponsor; maximum size 3’ x 5’)
  • Be acknowledged with your logo in the Pocket Program, as well as on the Exhibit Floorplan, as the Sponsor of a Charging Station
Wireless Internet (Exclusive) USD 10,000
Wireless internet will be available throughout the Hotel at no charge allowing delegates to use the Congress Onsite Mobile App to view the scientific program, access abstracts, or connect with other delegates and colleagues.

As the exclusive sponsor of the Wireless Internet, you will:

  • Have your logo displayed on all relevant signage associated with the wireless internet
  • Have your custom graphic displayed on the access page of the wireless network (to be confirmed)
  • Be acknowledged with your logo in the Pocket Program as the Sponsor of the Wireless Internet
Onsite Mobile App (Exclusive) USD 15,000
The Onsite Mobile Application will be provided to delegates free of charge and will be available for most iOS and Android mobile devices. The mobile app will include the full scientific program, the exhibit floorplan including exhibitor biographies, and general Congress, venue and local information. Timely updates about any onsite program changes or important announcements will be sent through the app via notification alerts.

As the exclusive sponsor of the Onsite Mobile App, you will:

  • Have your logo displayed in a Sponsored App Section
  • Have the opportunity to have one (1) pinned Promoted Message per day

Meeting Room/Hospitality Suite Upon Request
The Congress is increasingly becoming a global forum for WADEM's international partners. Limited meeting/office space is available at the Hotel for you to host reviews, hospitality suites, staff offices, press rooms, etc. The office/meeting space comes with basic AV package, including projector and screen.

Because of compliance and accreditation rules, the following items are only available to non-commercial companies.

All speakers and oral abstract presenters are required to report to the Speaker Preview Room to submit their slides prior to their presentation. The Speaker Preview Room will be equipped with more than 10 computer stations.

  • Have the opportunity to provide branded mouse pads for the Speaker Preview Room (supplied by Sponsor)
  • Have your custom desktop image/screen saver on all computer stations in the Speaker Preview Room

USB Stick of Abstracts (Exclusive) USD 7,500
Each registered delegate will receive a USB memory stick with the collection of all abstracts submitted and accepted for presentation at the Congress. It will be handed out when the delegates pick up their registration package.

  • Have your logo displayed on the outside of the USB stick

Welcome Reception (Exclusive) USD 7,500
The Welcome Reception & Official Opening of the Exhibit Hall will take place on Tuesday, 25 April in the Exhibit Hall. It will provide delegates and exhibitors with the opportunity to mix and mingle while enjoying refreshments.

As the exclusive sponsor of the Welcome Reception, you will:

  • Have table top cards with your logo on all food and beverage stations in the Exhibit Hall during the Welcome Reception
  • Be acknowledged with your logo in the Pocket Program as the Sponsor of the Welcome Reception
Lanyards/Badge holders (Exclusive) USD 10,000
All delegates will receive a name badge and lanyard to be worn for identification during the Congress.

Congress Dinner (Exclusive) USD 10,000
The Congress Dinner will take place on Thursday, 27 April. All delegates are invited to attend this event at a reduced price and nearly 70% of Congress delegates attend the dinner. Guests and friends are invited to purchase additional full-price tickets.

As the exclusive sponsor of the Congress Dinner, you will:

  • Receive four (4) complimentary tickets to the Dinner
  • Have your logo placed on the tickets and menu cards, and on signage onsite
  • Be acknowledged verbally during the event, as well as with your logo in the Pocket Program, as the Sponsor of the Congress Dinner
Virtual Meeting (Exclusive) USD 30,000
The Virtual Meeting of the WADEM Congress 2017 will feature all oral presentations including presentation slides as well as audio recordings. It will be placed on the Congress website for one year, during which time you will have the opportunity to engage delegates through ads, surveys and other activities to be developed with the Organizing Committee.

As the exclusive sponsor of the Virtual Meeting, you will:

  • Have your logo/banner displayed on the pages of the Virtual Meeting
  • Be acknowledged with your logo in the Pocket Program as the Sponsor of the Virtual Meeting
  • Be able to engage delegates in a variety of ways for a year after the Congress

Sponsorship Levels

To reach a sponsorship level, you can:

  • pick "a-la-carte" items from the options above (exhibit items as well as sponsorship/marketing items), or
  • make a general contribution to the Congress, or
  • choose a combination of these two options: if the total of your "a-la-carte" items doesn't reach the minimum amount for the sponsorship level of your choice, simply add a general contribution amount.

Accommodation

The Congress Secretariat (International Conference Services, Ltd.) is the official housing bureau for the WADEM Congress 2017 and will offer assistance with the coordination of housing requirements for the Congress. Discounted room rates have been negotiated for delegates and groups. All sponsors and exhibitors are asked to support the Congress by booking accommodations via the official Housing Bureau. Priority selection of hotel rooms will be granted to sponsors.

The Congress Secretariat retains the right to downgrade sponsorship levels if sponsors do not book through the official Housing Bureau. Accommodation booking is now available through the Congress website.
