Registration

Registration for WADEM’s 23rd Congress on Disaster and Emergency Medicine is now open.

Register on or before 15 January 2025 and save ¥5,000 with the Super Early rate! Members of WADEM are eligible for discounted registration for the Congress. A limited number of registration waivers will be available for delegates from low-income countries and students. More information about the application process will be posted in the coming months. Applicants for a registration waiver must have an accepted abstract to be eligible to apply.

The congress registration fees include:

  • access to all the educational sessions and poster/exhibition space;
  • morning and afternoon coffee/tea breaks;
  • daily lunches (3-5 May); and
  • the evening networking reception on 2 May.

WADEM will apply for accreditation and anticipates that CME credits will be available to congress delegates.

Please note that the registration fees do not include travel expenses or hotel accommodation. It is recommended that you purchase travel insurance. The registration rates below are in yen (JPY). To calculate the registration rates in another currency, please visit – https://www.xe.com/.

The registration fees are inclusive of the required 10% consumption tax.

* The discounted registration fee is available to delegates from low-income and lower-middle-income countries as defined by the World Bank.

** Students are subject to verification from the delegate’s university or institution. Students must be enrolled in a full-time degree program.

Entry Requirements

Your passport should be valid for the duration of your stay in Japan. Please check if the Japanese government requires you to have a visa for entry.

Cancellation Policy

Cancellations of congress registrations must be submitted in writing to – info@wadem.org. By registering, you understand and agree to the cancellation policy.

  • For cancellations before 16 January 2025, an administrative fee of ¥7,500 will apply.
  • For cancellations between 16 January 2025 and 24 February 2025, a 25% cancellation fee will apply.
  • For cancellations between 24 February 2025 and 25 March 2025, a 50% cancellation fee will apply.
  • For cancellations between 26 March 2025 and 25 April 2025, a 75% cancellation fee will apply.
  • For cancellations on or after 26 April 2025, a 100% cancellation fee will apply.

If you need a visa to enter Japan and your visa application is denied, your registration payment will be refunded minus a ¥7,500 administrative fee.

Video and Photography Consent

Please be advised that photography or video recording may take place at the congress. By registering, you are giving your consent for a photographer, WADEM, the Keio Plaza Hotel, and Japan Convention Services (the conference organizer) to take photos or video and to use them throughout the world in all and any media, including but not limited to printed publications, presentations, promotional materials, or online, in their original format or edited.
